Job Duties:
Administrative Specialist II

Supervises two office staff members and provides administrative and budget support for the Facilities Management Division.

Project Management of the door access security installations for all city building and leased spaces to include coordinating the installation of door access equipment from concept to completion.

Assist with programming and maintenance of the city’s door access software program.

Assist Facilities Manager in coordinating projects related to building demolition, disposition of surplus FF&E inventory and/or works with agencies on office moves.

Conduct research and analysis, identifying internal and external resources to obtain information and data and composing reports requiring in-depth knowledge of the division/department’s business and City processes.

Coordinate/oversee the preparation of the annual budget, advising manager of projected overages/shortages and recommending corrective action including programmatic changes for future budget years.

Oversees the procurement processes for the division ensuring we are complying with City processes.

Provide input in the development of division goals and objectives so that agency-wide coordination toward accomplishing them may result.

Prepare supporting documentation for modifications to budget based on research and analysis. Update and assist in the implentation of department/division policies and procedures.

Identify training required to maintain professional or special certifications or qualifications unique to the division.

Minimum Requirements:
Minimum Qualifications;

Requires any combination of education (above the high school level) and/or experience equivalent to six (6) years in fields utilizing the required knowledge, skills, and abilities, such as business or public administration.

Special Requirements:
All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.
